Is my data safe with Medullar?

Yes – data security is our top priority. Medullar implements enterprise-grade security measures at every level to protect your information; all data transfer is encrypted using HTTPS/TLS, and any data stored or cached is protected with strong AES-256 encryption (the same level of encryption used by banks and the military).

The platform’s architecture is built on Microsoft Azure’s cloud, benefiting from Azure’s robust security and compliance practices. We never move or copy your files onto our servers permanently – instead, Medullar either leaves data in place or, if you upload files to a Space, we encrypt and isolate that content so it’s accessible only to you and your authorized workspace members. We also undergo regular independent cybersecurity assessments to validate our controls and maintain a proactive security posture.

In short, Medullar provides a secure environment with end-to-end encryption, strict access controls, and continuous security oversight, so you can trust your sensitive data is in good hands.

Does Medullar store or share any of my personal information or files?

No way! Medullar does not store your personal / organization's content on its servers beyond what is temporarily necessary to perform searches or enable your workspace functionality. When you connect your apps, the data remains in those source systems – Medullar just retrieves what’s needed on-the-fly to answer your queries. If you upload documents into a Medullar Space, those documents are immediately processed into an encrypted form for search (and the original files are discarded) such that we’re not keeping raw personal files lying around.

Nothing you put into Medullar is shared with any third party or used beyond providing the service to you. Even within Medullar, your data is siloed: only you and people you explicitly invite to a Space can access its content. Our team members cannot access your private data either. All of this means your information stays under your control – Medullar acts as a secure conduit and toolset, not a data owner.

Will Medullar’s AI models be trained on the personal or organization data that I use in conjunction with Medullar?

Absolutely not! Any data you process through Medullar (be it documents you upload or queries you ask in Spaces) is never used to train or improve AI models outside of your own usage.

Medullar’s AI features operate in a “zero data retention” mode regarding model training – the AI (e.g., ChatGPT via Azure) sees your prompt and context only to generate the answer in that moment, and then that information is not stored or fed into any learning pipeline. We have contractual agreements in place (thanks to using Azure OpenAI services) that ensure your data is only used for inference, not for training. Furthermore, Medullar does not send your content to any public AI endpoints – everything is contained within a secure environment.

In summary, your data stays confidential: it won’t appear in some AI’s training set now or in the future, and it never leaves the private Medullar environment that you control.

How else does Medullar protect data privacy and comply with data security standards?

Medullar follows industry best practices for privacy and compliance. We align with strict data protection regulations and frameworks (for example, leveraging Azure’s compliance with SOC 2, GDPR, and other standards globally) to meet our clients’ needs for enterprise-grade assurance. All data access in Medullar is governed by role-based access controls – meaning only authorized users can see certain data, and every action is logged for auditability (without logging the content itself). Each workspace’s data is isolated from others, both logically and cryptographically, to prevent any cross-project leakage. And as mentioned, all data is encrypted both in transit and at rest. We also undergo periodic third-party security audits and penetration tests. Our aim is to provide a solution that meets or exceeds the security posture of our customers’ own environments.

What is Medullar Spaces and how does It support team & client collaboration?

Medullar Spaces is a collaborative digital hub that lets you securely collect, share, and interrogate trusted data with Artificial Intelligence as part of the team. Spaces is built on a technique called Retrieval-Augmented Generation (RAG) to ensure you have a personalized and trustworthy generative AI experience grounded in your own data.

In a Space, you and your team can upload or aggregate documents, emails, chat transcripts, webpages, etc., and then query that content with AI assistance. Essentially, Spaces combines an AI-powered knowledge base with real-time collaboration tools and trustworthy data inputs – your team can summarize, ask questions, and build upon the gathered knowledge collectively using the latest large language model (LLM) technology. All of this happens in a secure environment that you control.

What is RAG (Retrieval-Augmented Generation) and how is it used by Medullar?

RAG is an AI approach that combines real-time information retrieval with AI generation. In practice, this means when you ask a question, Medullar first fetches relevant data (e.g. documents or snippets from your Space or connected sources) and provides that context to the AI search capability. The AI model (like ChatGPT) then generates an answer or summary using only that relevant, retrieved information. This makes the AI search tool’s responses more accurate and context-aware, grounded in your actual data sources, rather than just the AI tool’s general training knowledge. RAG is why Medullar’s AI capability feels trustworthy – it always tries to back its answers with real content from your files.

How do I add content to a Medullar Space?

You can add content to a Space in multiple ways. For example, you can use Medullar’s Universal Search to find and import files, emails, or records from your connected apps into the Space. You can also simply drag-and-drop files from your computer into the Space, or use the Medullar browser extension to save webpages and other online content directly to a Space. Medullar will index (and encrypt) the knowledge from whatever you add, so it becomes searchable and available for AI queries within that Space.

Can I collaborate with others in a Medullar Space?

Yes. Spaces are designed for secure team collaboration. You can invite team members or external clients to join a Space, allowing them to contribute content, edit documents, and interact with the data in real-time. Everyone invited to a Space can see updates or AI-generated insights instantly, which makes it easy to brainstorm, research, or problem-solve together. You maintain control over the Space membership and permissions, so only authorized colleagues can access that Space’s content.

Can I create multiple Medullar Spaces for different projects?

Absolutely. You can set up as many Spaces for projects & collaboration as you need, and tailor each Space to a specific task, client, team, or topic. For instance, you might have one Space for a client project (where only that client’s data is gathered and only that client’s team is invited), and another Space for an internal organizational initiative. Each Space is isolated and secure, so members of one Space cannot access data in another unless you invite them. This allows you to keep knowledge organized and access strictly controlled per project.

Can I clone a Medullar Space?

Yes. Medullar allows you to clone or duplicate an existing Space to quickly replicate its structure, settings, and knowledge base for a new project or client. When you clone a Space, Medullar copies the content, organization, permissions (optional), and contextual knowledge into a new workspace—so you can start fresh without rebuilding from scratch.

This feature is particularly useful for teams who work with repeatable processes or similar client engagements. For example, you might have a “Client Onboarding” Space template that includes standard reference documents, checklists, and AI prompts. Cloning that Space creates an identical starting point for your next client, saving hours of setup time.

All cloned Spaces maintain their own encryption keys, audit logs, and access isolation, ensuring the new Space is just as secure as the original. You can choose whether to include existing collaborators during cloning or start with an empty member list.

Cloning a Space gives you a fast, secure way to reuse what works while maintaining full data privacy and compliance controls.

How do I use tags to manage projects in Medullar Spaces?

Tagging in Medullar Spaces helps teams organize, categorize, and locate projects faster across our productivity & collaboration platform. Tags act as customizable labels that you can attach to each Space to reflect its purpose, client, or project type—making it easier to navigate when managing multiple workstreams.

You can add one or more tags to any Space (for example, ClientA, Marketing, Q4Review). Once tags are in place, you can quickly filter or search by those tags to find related Spaces across your workspace.

What makes Medullar Spaces different from a typical shared drive or knowledge base?

Unlike a static shared drive or wiki, Medullar Spaces are interactive and powered by AI. A traditional shared folder just stores files – you have to manually read and parse them. In Medullar Spaces, your stored content becomes actively usable: you can ask natural-language questions about the content, get AI-generated summaries, and collaboratively annotate or enrich the knowledge in real time. The data in Spaces also comes from across your various apps (not just files you manually put in one folder).

In short, Spaces serve as a living knowledge hub: you still have a central place for project documents, but now you can query that collective knowledge and get instant insights, rather than just browsing files. It’s like upgrading a passive repository into an AI-supported team brain, using your trusted data sources and real-time collaboration.

Can I chat with an AI in Medullar about my own data (like I would with ChatGPT)?

Yes! Medullar includes an AI assistant that you can interact with, similar to ChatGPT but private and tailored to your data. In practical terms, within a Space you can ask the AI questions or give it prompts that relate to the documents and information you’ve gathered. For example, you could ask, “Summarize the key findings from all the reports in this Space,” or “What were the main points in our client meeting notes?” The AI will then generate a response based on only the content available in your Space. This is essentially like having a ChatGPT-style chatbot that has “read” your specific knowledge base and can help you analyze or generate content from it. The experience is conversational – you can ask follow-up questions in context – and completely secure. All AI processing happens within Medullar’s Azure-hosted environment, so your data isn’t exposed to external AI services. This feature allows you and your team to interrogate your sensitive information with AI as a team member, getting insights or drafting materials in seconds, without any risk of that data leaking out.

What is Medullar Universal Search and how does it work?

Medullar’s Universal Search is an AI-powered federated search tool that lets you query across all your connected apps and data sources at once, in natural language. When you enter a search query, Medullar uses advanced AI and Natural Language Processing (NLP) to understand your intent, then performs a real-time federated search through your accounts (Google Drive, email, Slack, Salesforce, Notion, etc. – whatever you’ve connected) without copying or relocating any data. It brings back a unified list of results from both your private personal and organization’s data and permitted public sources, all ranked by relevance. Because it’s federated, your information remains in its original location (e.g., it searches your Box and Google Drive in place) – Medullar just fetches the relevant snippets needed to show you results. In short, Universal Search saves you from having to search each system one by one, and it does so securely and intelligently across 70+ integrations.

What is federated search technology and how does it apply to Medullar?

Federated search means searching multiple systems or databases simultaneously from a single query. Instead of having to perform separate searches in each app, a federated search like Medullar’s will fan out the query to all connected sources and then aggregate the results for you. Importantly, federated search does not require creating one big centralized index; information stays in place in each source. You get the convenience of a “one-stop” search, but your data doesn’t have to be duplicated or moved into a new repository. This approach keeps your data more secure and up-to-date (since results come live from the sources). That’s why we use the terms “secure AI,” “safe AI,” and “personalized AI” when we share key benefits of Medullar’s productivity and collaboration solution with small and mid-sized businesses, plus enterprise clients.

Which applications and data sources can Medullar connect to?

Medullar's AI productivity tool supports over 70 different applications and data sources out-of-the-box. This includes popular productivity and storage apps, communication tools, Customer Relationship Management Solutions (CRMs), and more. For example, you can connect:

• Google Workspace (Google Drive, Gmail, Calendar) and Microsoft 365 (Outlook, OneDrive, SharePoint, Teams)

Can Medullar search within email attachments and other attachments?

Yes - Medullar can look inside the content of email attachments as long as the file type is supported. For example, if you search your emails and some have PDF or Word documents attached, Medullar will also search through the text of those PDFs/Docs to find matches. This applies across supported apps – attachments in tools like Slack or Customer Relationship Management (CRM) notes can be searched too. You don’t have to open each attachment one by one; Medullar’s index covers their contents.

What file formats can Medullar search through?

Medullar isn’t limited to specific file formats when it comes to indexing e-mail attachments or other file sources. It can handle essentially any document or media type that your connected applications contain. In practice, this means Medullar can search documents (PDFs, Word, Excel, PowerPoint, etc.), emails (and their bodies/attachments), chat logs, HTML pages, plain text notes, and more. The platform leverages each connector’s capabilities – if an app’s API can expose a file’s text, Medullar will include that in the search index. So whether your data is in a PDF, an Excel spreadsheet, a Markdown file, or elsewhere, as long as it’s stored in one of the connected apps, Medullar can retrieve and analyze it.

Can I filter search results in Medullar?

Yes – Medullar provides filtering options to help refine your search results. You can filter by factors such as date range (e.g. only show results from the past month), file type (documents vs emails vs slides, etc.), source application (perhaps you want to see results only from Slack, or only from Google Drive), and more. These filters appear in the search interface after you run a query, allowing you to narrow down a large set of results to the most relevant ones. By combining filters, you can pinpoint exactly what you need (for example, “show me PowerPoint files from SharePoint updated last week”).

How does Medullar rank the relevancy of search results?

Medullar uses AI to deliver highly relevant search results. After gathering raw results from your sources, Medullar applies a semantic re-ranking step: it uses a Large Language Model (specifically Cohere’s ReRank LLM) to re-order the results based on contextual relevance. In simpler terms, Medullar’s AI capability looks at each result and your query to judge how well that result actually answers your question or matches your intent – going beyond simple keyword matching. This way, even if a perfect answer doesn’t have the exact keywords you typed, Medullar can still bubble it up to the top because the AI technology “understands” the content. Additionally, Medullar performs duplicate suppression using Natural Language Processing (NLP) techniques.

How does Medullar generate AI summaries?

You can absolutely use plain English. Medullar is built to handle natural language queries. You don’t have to memorize any special commands or boolean logic – just type a question or phrase as you would ask a colleague. The platform employs NLP and large language models to interpret what you mean and then find the relevant information. For example, you can ask “Show me the latest contract for Project X” or “How do I reset my company email password?” and Medullar will understand and attempt to retrieve the answer, even if the files don’t literally contain every word of your question. This makes interacting with Medullar much more intuitive and faster than traditional keyword-limited search.

How does Medullar handle misspellings or typos in my search queries?

Medullar has a built-in spell-check and query correction system to help with typos. When you enter a query, Medullar will automatically detect common spelling errors and correct them before searching. If it corrects a word, it will let you know by showing (for example, “Showing results for ‘twitter’”) and also give you the option to explicitly search for your original spelling if that was intentional (e.g. “Search instead for ‘twiter’”). This way, a small misspelling won’t lead to zero results – Medullar will try to fetch what it thinks you meant. It’s similar to Google’s “Did you mean…?” feature, integrated into our search capabilities. Additionally, even if a typo slips through, the AI-powered interpretation of queries provides some robustness, but the explicit spell-check catches most issues upfront.

If I connect a lot of data sources, will Medullar’s search be slow?

Medullar is designed to handle multiple sources efficiently. When you perform a search, it does wait for responses from all your connected apps, but it sets a timeout for each source so that one slow service won’t hold everything up indefinitely. In other words, if one of your connectors is responding slowly, Medullar will show you results from the others that have answered, and it won’t make you wait unreasonably long for the slowest one. Moreover, Medullar uses a smart approach to searching called the “Smart App Chooser.” This AI-driven mechanism predicts which data sources are most likely to have the answer to your query and prioritizes those, instead of blindly querying every single connected app every time. For example, if you ask a question about a document file, Medullar will focus on searching your document storage apps (like Dropbox, OneDrive, Box, etc.) and skip sources that are unlikely to have documents (like a News feed) to speed things up. This selective querying means that in practice, even with many integrations, Medullar remains responsive and is often much faster than manually searching each system one by one.

Is there a free version or trial of Medullar?

Yes. We offer a Basic plan that is free to use, which comes with core features and a limited number of connectors so you can try out Medullar at no cost. In addition, we provide a 30-day complimentary trial of our full-featured paid plan (often referred to as the Early Adopter plan) – no credit card required upfront. This trial lets you experience all of Medullar’s capabilities and higher usage limits for a month. After 30 days, you can decide to continue on a paid plan or switch to the free tier depending on your needs. Our goal is to make sure you can evaluate Medullar thoroughly and see the value before committing to a subscription.

How do I upgrade or downgrade my Medullar plan?

You can change your subscription plan at any time through the Medullar account settings. In the “Billing” or “Subscription” section of your workspace settings, you’ll find options to upgrade to a higher tier or downgrade to a lower one with just a few clicks. Changes take effect immediately – if you upgrade, new features/unlocked connectors become available right away; if you downgrade, you’ll lose access to any features beyond that plan’s limits. There’s no long-term contract binding you, so you have flexibility to adjust your plan as your needs change. What payment methods does Medullar accept?

We accept all major credit and debit cards for subscription payments. Payments are processed securely via Stripe, our payment processor. This includes Visa, MasterCard, American Express, and so on. At this time, credit/debit card (through our online checkout) is the primary payment method. If you have a larger team or need an alternate payment arrangement (like invoicing for an enterprise plan), you can reach out to our sales team to discuss options, but for self-service sign-ups the credit card method is standard.

Does Medullar offer a discount for annual billing?

Yes – if you choose to pay annually, we offer a discount on the total price compared to paying month-to-month. Many customers opt for annual billing to save (essentially, you get a couple of months free over the year). The exact discount or pricing for annual plans is listed on our pricing page (for example, an Early Adopter plan might cost less per month when paid annually versus monthly). Upgrading to annual can be done in the billing settings as well. This is a great option if you know you’ll be using Medullar for the long term, as it provides cost savings.

Does Medullar offer a money-back guarantee?

No, we do not offer a money-back guarantee on subscriptions. Because we provide a free tier and a 30-day free trial for the paid tier, users are encouraged to fully evaluate Medullar before purchasing. Once you choose a paid plan, cancellations will stop the next renewal but we don’t issue refunds for any unused time in the current period. That said, we strive to be transparent and fair – if you have an extraordinary circumstance, you can contact support, but our standard policy is no refunds. We want to ensure you have ample opportunity via the trial to decide if Medullar meets your needs.

Are there any hidden fees with Medullar?

No – there are no hidden fees. The pricing for each plan is clearly stated on our website and it includes all the features and usage described for that plan. We don’t charge things like overage fees without you knowing (for instance, if there are any limits on usage, they’re spelled out in the plan details up front). What you see is what you get – the goal is to keep pricing simple and transparent. If down the line you choose to add something that isn’t included (like a custom enterprise setup or a special feature), that would be discussed and quoted, but you’ll never be surprised by charges from normal platform use.

Does Medullar offer team or enterprise plans?

Medullar offers both - we have solutions for teams, such as small-to-mid-sized professional service firm teams, as well as for larger enterprises. In addition to the standard self-service plans (Basic and Early Adopter), we offer Enterprise plans that can be tailored for your organization’s needs. Enterprise plans typically include support for a larger number of users, advanced security/compliance accommodations (if needed), custom integrations, and dedicated account support. Pricing for enterprise tiers isn’t listed on the site because it can vary; instead, we encourage interested companies to contact our sales team. We’ll discuss your specific requirements and provide details on enterprise licensing and pricing. There’s also often the possibility of volume discounts for larger teams.

Can Medullar integrate with our company’s custom software or internal database?

Yes – Medullar’s AI productivity & collaboration tool offers a flexible API and connector framework for custom integrations. If you have an in-house application or database that isn’t in our standard catalog, you can use the Medullar API to connect it, allowing Medullar to search and interact with that data as well. This typically requires some development on your side to interface with our API, or our team can discuss building a custom connector for you as part of an enterprise plan. We recommend reaching out to our team (via the Contact Us page or sales@medullar.com) with details of the system you’d like to integrate. We have helped clients securely connect proprietary data sources so they can use Medullar’s AI and search capabilities across all their business’ information, not just the common apps.

Which browsers does Medullar support? Is there a browser extension?

The Medullar web application is accessible through any modern web browser – we support Google Chrome, Microsoft Edge, Firefox, Safari, and others, so you can use whichever browser you prefer for the core app. In addition, we provide a browser extension (currently for Chrome and Chromium-based browsers like Edge) that enhances Medullar’s functionality. The extension allows you to do things like save web pages to a Medullar Space with one click, perform quick searches from your browser toolbar, and receive smart suggestions while browsing. Using the extension is optional but can streamline your workflow. (Support for extensions in Firefox or Safari is not available yet, but we may introduce broader extension support in the future based on demand.)

Can I use Medullar on my mobile device or tablet?

Yes – you can use Medullar on mobile devices via the web. There isn’t a native mobile app at this time, but if you open your mobile browser and go to the Medullar web app, you’ll be able to log in and use most features on your phone or tablet. Medullar’s web interface is responsive and cloud-based, so you can search and view content on the go. For heavy tasks like large document reading or complex editing, a desktop browser is recommended for comfort, but quick searches and viewing AI summaries on mobile work well. (As the platform evolves, we’ll evaluate dedicated mobile apps if there’s sufficient need.)

Is there a limit to how many apps I can connect to Medullar?

The number of app connections available to you as a user of our AI productivity tool depends on your subscription plan. On Medullar’s free/basic plan, you may have a limited number of connectors you can enable, whereas Medullar’s paid plans (such as the Early Adopter plan) allow access to the full catalog of 70+ integrations. In practice, if you’re on Medullar’s basic tier, you might link a handful of your most critical apps, but upgrading to a higher plan will let you connect all the services you use. These limits are in place just to differentiate tiers – technically, Medullar can handle many connections, and enterprise plans can unlock unlimited connectors. Check our pricing details or contact us if you need a specific number of integrations.

Is Medullar limited to certain file formats or data types?

No – Medullar’s capability covers any file format that your connected apps support. Since we rely on each app’s integration, Medullar can handle all file types represented across the apps in our connector catalog. For example, if your Google Drive has CAD drawings or CSV files, Medullar can index the text content (or metadata) of those; if Slack has JSON exports, those too can be processed. Basically, as long as the data is accessible via the app’s API and contains text or searchable information, Medullar will include it. We’ve built connectors to accommodate a wide range of content from emails and Word docs to specialized formats. If you ever encounter a file that doesn’t seem to be searchable, let us know – but it’s rare to hit a format limitation.

Does Medullar support languages other than English?

Currently, Medullar’s interface and primary operation are in English. Our AI collaboration and productivity platform’s features (search, AI summaries, etc.) are optimized for English content at this time. However, the underlying AI models we use are capable of understanding multiple languages to an extent. For instance, you could upload a document in another language (say Spanish or Mandarin) and ask Medullar to summarize it in English – the AI can perform translation/summary as needed. That said, full multi-language support (such as querying in one language to retrieve content in another, or having the user interface (UI) in other languages) is on our roadmap but not fully implemented yet. If multilingual support is important for your team, we’d love to hear which languages you need as we plan future upgrades.

Does Medullar offer any keyboard shortcuts?

Medullar currently provides a limited set of keyboard shortcuts for basic actions users want to take within our AI team-collaboration solution. For example, when you’ve typed a query, you can just press Enter to execute the search (instead of clicking the search icon). We know power-users enjoy shortcuts, and as the platform grows, we may add more (such as navigation or triggering certain functions via keys). For now, the focus has been on the core functionality, so only a few simple shortcuts like the Enter-to-search are available.

Can I use Medullar offline?

No – Medullar requires an active internet connection to work. This is because Medullar performs live searches across your cloud-based services and uses cloud AI resources; it needs to communicate with those online systems in real time. If you don’t have an internet connection, Medullar won’t be able to reach your apps or our servers to process queries. Essentially, Medullar is a cloud platform – the upside is you can access it from anywhere, but the trade-off is that it won’t function without being online.

What should I do if Medullar is not working properly?
